Great leaders become great because there are people around him who helped him. The secretary and the administrator are people who directly report to executives or managers who make important decisions on a regular basis. They also represent their boss to the rest of the organization. In light of this, their positions become very important. They both directly and indirectly influence the organization. The course identifies 7 qualities that are necessary for a secretary and an administrator to be effective.

1. Aligned with Superior
An excellent secretary and administrator always align himself/herself with the immediate boss. That means knowing the objectives of the office and seeing each task in line with the overall goal. Understanding the personality and habits of ones superior is important in working with them.

2. Trustworthiness
Trust must be earned even if some superiors give it freely. Being worthy of trust means keeping confidentiality and proving ones integrity. Without these, one cannot be an excellent secretary or administrator. This quality packs a weight.

3. Continuous Learning
Continuous learning fosters growth. One must be willing to learn new things especially those that can help in ones effectiveness and efficiency. There is always new software being introduced to improve office work. The willingness to learn and adjust is a must.

4. Personality
Being a secretary or administrator means that you represent your boss to everyone in the organization and at times, even outside the organization. Courtesy, respect and good grooming are necessary to do justice to your boss and to your profession.

5. Communication Skills
Communications skills include letter writing, face-to-face talks, telephone, and more. These are day-to-day, moment-by-moment functions that a secretary and administrator do. One cannot do without them.

6. Leadership
Leadership is not about position. It is about influencing others in a positive way. The secretary and administrator by virtue of their positions are given ample opportunities to show leadership traits. This is a great added value to the boss and to the organization.

7. Value Added Qualities
It is expected for a good secretary and administrator to meet basic expectations like being punctual, doing good record keeping, follows up on pending tasks, and does preparations for a coming meeting . How do we add value to these basic expections and what other necessary qualities should one have to be seen as outstanding or excellent?

Eduardo R. Pilapil Jr. is a speaker, entrepreneur and author. He has been speaking in conferences and seminars for the past 15 years for different non-profit organizations, small companies, and large corporations.
